7 Power BI alternatives for small teams

The best Power BI alternative depends on why you are leaving. If it is cost, Data Studio is free and Dashlytics is $19 per month flat rather than per seat. If you are on a Mac

Worth calling out, because it is one of the most common reasons people go looking in the first place and most comparison pages skip it.

Power BI Desktop, where the actual report building happens, is Windows only. There is no native Mac build. Mac users are left with the browser service, which cannot do the full modelling work, or a virtual machine, or Parallels. If your team is on macOS, that alone is often the whole decision.

Anything browser-based sidesteps it entirely. Dashlytics, Data Studio and Zoho all run in a browser on any operating system, because there is nothing to install.

Why people leave Power BI

People leave Power BI for three reasons. Cost, because licensing is per seat and Pro rose 40% in April 2025. Complexity, because reports need a data model and often DAX. Platform, because Power BI Desktop is Windows only. Each reason points to a different replacement, which is why the right answer depends on yours.

Price per seat. Microsoft raised Power BI Pro from $10 to $14 per user per month in April 2025, and Premium Per User from $20 to $24. For a ten-person team on Pro that is roughly $1,680 a year, and most of those seats belong to people who only ever look at a dashboard someone else built.

The modelling step. Power BI expects a data model. That means relationships, measures and often DAX. It is powerful and it is also a real skill, which is why so many small teams end up with one person who can build reports and a queue behind them.

Time to first chart. If your data lives in a spreadsheet, the distance between having the file and seeing a chart is longer than it looks.

1. Dashlytics — for owners and teams without an analyst

Choose it if your data already lives in spreadsheets, nobody on the team is a BI developer, and you want the answer rather than the tool.

Do not choose it if you need live database connections, scheduled refreshes from ad platforms, or dashboards embedded in your own product. We do not do those, deliberately, and we are not pretending otherwise.

2. Data Studio (formerly Looker Studio) — the free option, if you are already Google

The standard version is free, genuinely, and it connects natively to Google Analytics, Google Ads, Sheets and BigQuery. Data Studio Pro adds governance and scheduling at $9 per user per project per month, which multiplies quickly if you run several projects. If your data is already inside Google, this is the cheapest credible replacement and it is hard to argue with the price.

The trade-offs are real: performance degrades on large datasets, blending data from several sources is fiddly, and anything outside the Google ecosystem needs a paid third-party connector, which quietly reintroduces the cost you were avoiding.

3. Metabase — for teams with a database and someone technical

Open source and free if you self-host it, which is the strongest version of the offer. Cloud starts at $100 per month for the base plus $6 per user with five included, so it is not a flat fee once a team grows. It is genuinely pleasant to use and non-technical people can answer their own questions once it is set up.

The catch is in that last clause. Metabase queries a database. If your data lives in spreadsheets, you need to get it into a database first, and that is the project people underestimate.

4. Zoho Analytics — sensible if you already pay Zoho

A free tier, then from about $30 per month, priced per account rather than per user, which avoids the seat maths that pushes people off Power BI. It uploads files directly and has a capable AI assistant.

It makes most sense if you are already inside the Zoho suite. As a standalone purchase it is a full BI product, with the configuration surface that implies.

5. Tableau — if you have an analyst and deep questions

Still the strongest tool for visual exploration when someone knows what they are doing. Creator licences are $75 per user per month with Viewer at $15, so it is materially more expensive than Power BI, not less.

Choose it if you have a dedicated analyst and questions that genuinely require exploration. It is the wrong answer to "I have a spreadsheet and want a chart".

6 and 7. Domo and Sigma — enterprise, not small business

Both are quote-only, and aggregated procurement data puts typical annual spend around $60,000. Domo is strong at consolidating many sources; Sigma is built for teams whose data already lives in Snowflake or BigQuery and who want live queries rather than imports.

Both are listed here because they appear on every comparison of this kind. For a small team, neither is a realistic Power BI replacement, and any list that implies otherwise is not being straight with you.

When you should stay on Power BI

Stay on Power BI if you need row-level security, a governed semantic model, DAX measures, or your organisation already runs on Microsoft Fabric. Those are real capabilities that cheaper tools do not replicate, and switching to save a subscription fee will cost you more in rebuilt work than it saves.

There are real reasons to stay, and a comparison page that pretends otherwise is not worth trusting.

Stay if you need row-level security so different viewers see different slices of the same report. Stay if you have a governed semantic model that several teams depend on. Stay if your measures are written in DAX and reproducing them elsewhere would be a project in itself. Stay if your organisation is standardised on Microsoft Fabric and Power BI is simply the reporting layer on top.

In those cases the per-seat cost is buying you something specific. The tools above, ours included, do not replace it.
